Overview

Filevine reached out to us, at Fuel Digital, to build integrations between its core case
management platform and its' users' other business-critical systems...
Legal case management software integrations.

Filevine is cloud-based case management software for legal practices, allowing users access to files and client data from anywhere. Filevine reached out to us, at Fuel Digital, to build integrations between its core case management platform and its’ users’ other business-critical systems.

Our team assesses the needs of Filevine clients to determine the most efficient and cost-effective integration solution. We utilize Workato or create custom integrations to ensure that the solution delivers exactly what our client needs. For more straightforward systems, we utilize Zapier to create data connections across environments.

Custom work environments integrations.

Using Workato or Zapier, we are able to create two-way integrations between Filevine data and critical data that lives in any other area of a work environment. Custom “Zaps” allow us to move data into Filevine from places like custom webforms, mailboxes and even other areas of Filevine. We can also trigger the data transfer from Filevine into other applications when events in Filevine occur, like project creations or executing a taskflow.

Filevine to QuickBooks custom middleware integration.

Filevine has no built-in accounting platform capabilities,  the ability to initiate payments on behalf of clients or at settlement. Firms had to perform duplicate data entry, first to record the transaction against a case, and then again in their accounting platform to initiate a payment. Filevine reached out to Fuel Digital to build a middleware integration between their core case management platform and QuickBooks accounting system.

Our team designed, built, and integrated a middleware portal between Filevine and QuickBooks. Users are now able to enter data once and initiate a payment transaction from Filevine. Transactions appear in a queue where users may group payments across clients by payee to limit the number of checks printed. The transactions are then sent to QuickBooks for payment with no additional entry required. The integration sends data both ways: returning payment information as well as voided check information from QuickBooks back to Filevine. This robust queueing system creates better visibility across clients and ensures accurate and timely payments. The solution has effectively become an extension of the Filevine core offering and will be updated to integrate with multiple accounting platforms in the future.

Aside from complex integrations, we also have provided complex customizations for
specific needs of our Filevine clients. Here are just a few examples…
Mass Tort Settlement Disbursements

We have developed Filevine Integrated Portals which provide an
entry point and overview of all current active mass tort client
settlement worksheets for firms.

Upon entry from the portal, the interactive disbursement details worksheet allows for real-time updates to show the allocation of settlement funds to cover firm expenses, attorney’s fees, and recipient disbursements. Once submitted, the process stores all data in Filevine to support reporting as well as generates check requests back to Filevine and an integrated portal, allowing for seamless integrations with the accounting platform. The expanded recipient distribution expenses section allows for the deduction of specific recipient expenses as well as others due to firm adjustments to the disbursement.

Dynamic ClientForms

Clients needed a unique solution for onboarding new clients. We developed dynamic, web-based forms that allow for a practice-specific flow of interview information and content to be collected and is customized based on the client’s specific need. These web forms, completed by the client, are integrated with Filevine. Information entered through this process will be used to populate data fields in Filevine automatically. Features include a progress bar to decrease client frustration, and saving functionality, which allows the client to return and finish at a later time. An intuitive user experience allows for ease of use while interacting with long forms. Our client was able to transition from a paper-based manual entry process, managed by firm resources, to a web-based integrated intake system.

Transfer Portal Integration

This integrated transfer portal sits between Filevine and the accounting system and opens in an initial minimized state, which can be expanded to show what the user wants to view. It allows for the review of new and modified client and matter data. The sections on this screen can be expanded or minimized to focus on specific elements for review and data changes.

Within the transfer portal, each section clearly identifies editable fields with text boxes, field changes with red text, and action items with red iconography and color. Client data is indicated by cards outlined in blue, while matter data cards are outlined in red. All client or matter data may be edited (editable fields) and/or selected (card selection boxes) and then transferred or rejected, via the top buttons. Various filters and search functionality make isolating specific data sets easy. The batch portal allows for a historical log of all client and matter data submitted to the accounting system.
